Policies and Rules for staying in the hotel
Our Policies
Please make sure you read these policies before booking! Seriously read them! We want you to know exactly what to expect and the following policies will answer most of your questions.
CHECK-IN PROCEDURE-
Check in is at 3pm, Check out is at 11am. Sorry at this time we are NOT offering early or late check in or out options. We will text you a door code and instructions prior to 3pm to let you in the hotel.
CHECK-OUT PROCEDURE-
Check-out time is 11 am. Please check-out by simply leaving your keys in the metal box at the front desk so that housekeeping may begin cleaning your room as soon as possible. After you check out you are NOT allowed to re-enter the hotel unless you have purchased another nights stay. If you are still in your room after 11am for Checkout and we have to remind you to checkout we will bill you for another nights stay.
DRINKING-
We want you to have a good time and we don't mind you drinking, however this is NOT a place to get DRUNK and it will NOT be tolerated. If you are disturbing others, being loud or obnoxious and are not following our quiet time rules we will give you one warning and then you will be escorted off the premises without refund and you will not be able to come back. In extreme cases, criminal charges will be pursued.
Smoking/Vaping-
Smoking/Vaping or ANY type of illegal drug use anywhere in the hotel is NOT tolerated, this includes Marijuana. In a case where you or any person in your party (whether or not staying at the hotel during your stay) will smoke/vape or use illegal drugs inside the hotel, a $500 “cleaning fee” will be charged to your Credit Card immediately and all guests staying in the room will be banned from future stays. This includes smoke odor residue left over from not "airing out" before coming into the Hotel. Any odor can adhere to our antique furniture and will release the odor in the future providing an unpleasant experience for future guests so please "air out" before entering the hotel. If you enter the hotel with an unpleasant odor due to Smoking/Vaping or ANY type of illegal drug you will be asked to leave upon arrival. We have special smoke detection devices in the rooms and bathrooms of the hotel. If those go off you will be charged $500 immediately to the card on file. Smoking must be done outside and at least 30' away from all entrances. Our insurance does NOT allow Smoking on the balcony.
CHILDREN-
Children 12 and under-must be accompanied by an adult at all times.We do NOT allow children under the age of 5 to stay with us. PARENTS! Well behaved children ages 5 and up are allowed but MUST be with you and supervised at ALL times! There are a lot of breakable items and things that kids would enjoy to touch, If you think you cannot watch your children to make sure they don't touch or run in the hotel please do NOT bring them here. This is not a place for young children.
SENIORS-
Please be aware we do NOT have an elevator and there are a lot of steps and obstacles to go around throughout the hotel due to our eclectic antique collection. Please view the pictures and videos on the website before booking a room. The rooms are kept around 69 degrees year round and the halls can be very noisy during non quiet hours. If these things do not sound appealing we do not recommend booking a room here.
PAYMENT METHODS AND NO CANCELLATIONS-
All rooms are paid for in advance and charged immediately when you book. You can pay cash or by a credit card number such as VISA, MasterCard, American Express. We do NOT offer refunds or Cancellations for ANY reason but we can change the date of your visit one time if you cannot make the date you reserved. In the event that you need to reschedule your visit, there needs to be a five day notice before the reservation date. Anything after the five day notice and you will no longer be eligible to reschedule for any reason. This includes things like emergencies or unexpected events. if you reschedule and cancel the new reservation date you will be charged for a full visit, as we only allow one rescheduled date. If a charge-back is opened we reserve the right to re-charge the card on file again plus a $75.00 charge-back fee. Reservations must be made by someone that is at least 18 or over. All rates are quoted in United States currency, plus tax. Rates may increase without notice. If there is an issue on our end that is out of our control on the same day of your reservation, then we will allow you to reschedule your stay.
HEAT AND AC-
The hotel is Computer controlled and monitors all rooms to be kept around 68-70 degrees year round. There are thermostats in the rooms to adjust to your comfort. We do NOT allow outside space heaters to be brought in.
HOUSEKEEPING-
If anything is needed during the duration of your stay, please contact the front desk by texting 901-468-3551 and we will accommodate your needs. If you stay for more than 2 days, we will provide you with more towels and toilet paper. A detailed log is maintained on each room and linen. Rooms are rented to guests in appropriate condition without any prohibited odor. Housekeeping and Front Desk staff are trained and skilled in identifying the odors from prohibited items. If our investigation concludes that you have smoked in your room, cooked, or brought a prohibited item into our facility, you will be fined, and evicted without any refund.
VISITORS-
No visitors after 10:00 pm. Visitors must notify Front Desk upon their arrival. Visitors must be accompanied by the registered guest at all times. Visitors are not allowed to use guest amenities or Wi-Fi. As a registered guest, you are responsible for your visitor at all times.
NO PETS-
We're sorry, We do NOT allow pets of any sort in the commons area of the Hotel or the rooms. The ONLY exception would be a Service dog. If a service dog causes damage to furniture or relieves itself in the room or anywhere in the hotel, there will be a $500 cleaning fee. If there is any hair on the sheets or linen we will charge a $200 replacement fee, so we ask that you do NOT allow the animal on the bed at any time unless this is how the animal is to perform a task for you. Service dogs must be under the control of their person AT ALL TIMES in order to be allowed to accompany their person into our establishment. We will ask if your service animal is required because of a disability, and what work or tasks the animal has been trained to perform. The service dog must be Clean, housebroken, non-aggressive, and not display repeated, unprovoked barking. They must also either be on a leash at all times, or under verbal or sight commands that they follow at all times.
Service dogs cannot be left ALONE in our hotel when their person leaves. The dog must be with their person at ALL times. If any of these above rules are broken we will ask you to leave with the animal and you will NOT receive a refund.
IN ROOM-
You cannot enter a room unless you paid for it. If we see you or anyone in your party enter a room you will be charged for that room. You may look into the rooms and take pictures though. The rooms have a published maximum number of people allowed in the rooms. Any guests over the published number will be asked to purchase another room or have to leave. We do NOT allow outside blankets or pillows into the hotel to protect us from the possibility of bedbugs/flees etc. We Do NOT have wheelchair accessible rooms or an elevator. According to our insurance, it is strictly forbidden to use burner stoves, free flames, coffee pots, irons and candles. Curling irons, hair dryers can be brought in, but we DO NOT provide them to you. There is no cooking equipment allowed in the rooms at any time. We do have a common area that has a microwave in our vending area.
No parties, loud disturbances and/or noise-nuisance are allowed or tolerated on these premises. In the event of a disturbance, one polite request (warning) will be given to reduce the noise. If our request is not followed, the guest will be asked to leave the hotel without refund. Registered guest(s) is responsible for all persons visiting. Non-Registered visitors are only permitted until 10:00 PM. If found with more “people” not listed on the Guest Registration Form after 10:00 PM. your stay will be considered a party. You will be ordered to vacate the premises without refund and maybe charged a Guest Disturbance Fee. If you stay more than 2 days we will provide you with more towels washcloths and toilet paper if needed.
INTERNET-
A complimentary Wi-Fi internet connection is available for the guests, in all rooms and common areas. To activate the connection, it’s necessary to enter the access code that is provided to all guests at the time of check-in.
QUIET HOURS-
(Does not apply when we have events unless otherwise posted in the hotel)
11:00 pm. to 7 am. If you become aware of a disruptive guest, please contact Front Desk staff immediately. Televisions, voices, or other devices must be kept at a respectful low level at all times. Doors should be opened and closed quietly. Be aware that a lot of visitors to the The Historic Jefferson Hotel are here to have a haunted experience. Our hotel is known to have haunted activity. Please remember there may be guests here to visit the Hotel for its Historical Antique collection. While we encourage you to have a haunted experience, please be respectful to other guests while using devices or having personal experiences. No congregating or running in halls. If you are a guest wanting to have a haunted experience please note that you have access to only the room you have booked and the common areas. All other rooms are off limits for investigation unless you want to reserve the entire hotel for an event or filming. We do have some specific areas for investigation that you can rent by the hour during your visit as well.
DAMAGE AND/OR THEFT OF HOTEL PROPERTY-
You are liable for any damage howsoever caused (whether by the deliberate, negligent, or reckless act) to the room (s), hotel’s premises or property caused by you or any person in your party whether or not staying at the hotel during your stay. The Historic Jefferson Hotel reserves the right to retain your credit card and/or debit card details as presented at registration and charge or debit the credit /debit card such amounts as it shall in its sole discretion deem necessary to compensate or make good the cost or expenses incurred or suffered by The Historic Jefferson Hotel as a result of the aforesaid. Should this damage come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the Hotel property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc. We will make every effort to rectify any damage internally prior to contracting specialist to make the repairs, and therefore will make every effort to keep any costs that the guest would incur to a minimum.
DAMAGE DISCOVERED AFTER CHECK-OUT-
Guest Rooms found with waste strewn around, in complete disorder, and/or “trashed” will be subject to maintenance deep cleaning fee, administration fee and/or third party fees.
DAMAGE TO ROOM-
Damage to rooms, fixtures, furnishing and equipment including the removal of electronic equipment, towels, art work, Antiques, etc. will be charge at 120% of full and new replacement value plus any shipping and handling charges. Any damage to hotel property, whether accidental or willful, is the responsibility of the registered guest for each particular room. Any costs associated with repairs and/or replacement will be charged to the credit card of the registered guest. In extreme cases, criminal charges will be pursued.
DAMAGE TO MATTRESSES AND BEDDING-
Damage to mattresses and linen including; towels, mattress pads, sheets, bedspreads, blankets resulting from the use of body oils, make-up, hair color, etc. will result in a charge for the special cleaning, repair or replacement of the damaged article. We do NOT clean blood or throw up off the sheets or anything under it. If blood or throw up is discovered on any of the linen you will be charged full price of replacement.
DAMAGE OR TAMPERING WITH FIRE DETECTION SYSTEMS/FIRE-FIGHTING EQUIPMENT/SECURITY CAMERAS-
The Historic Jefferson Hotel reserve the right to take action against any guest or visitor found to have tampered or interfered with any detection equipment throughout the hotel, including detector heads in public areas, guest rooms, break glass points and fire extinguishers or security cameras. Guests or visitors found to have tampered with any fire detection, security cameras or fire-fighting equipment will be charged with any costs incurred by the hotel due to their actions and will be evicted from the hotel. Depending on the severity of the guest actions, law enforcement may become involved at the hotel’s discretion. Should the fact that fire-fighting or detection equipment had been tampered with come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the Hotel property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc. There are over 100 live security cameras with audio and video throughout the commons areas and outside the hotel. These cameras are monitored and recording 24 hrs a day via hotel staff, trust us when we say we are watching. These cameras are strategically placed to keep your stay safe and to monitor our historic antique collection.
ACCESS-
Access to the rooms purchased and the floors of the hotel is allowed only to guests that have been registered at the Reception. We reserve the right to refuse service to anyone for any reason(s) that does not violate Federal or State laws. The Historic Jefferson Hotel has a zero tolerance policy in which we will refuse to admit or refuse service or accommodation in our hotel or may remove a person, without refund, who refuses to abide by the reasonable standards and policies established by the State of Texas and the owners for the operation and management of the hotel. The Historic Jefferson Hotel will refuse service or evict a guest: for refusal or failure to pay for accommodations, is under the influence of alcohol, drugs, or any other intoxicating substance and acts in a disorderly fashion as to disturb the peace of other guests or is not in compliance with state liquor laws; acts in a disorderly fashion as to disturb the peace of other guests; is unable to properly supervise their children at all times, seeks to use the hotel for an unlawful purpose; seeks to bring into the hotel: an unlawfully possessed firearm; or something, including an explosive or hazardous or toxic substance, that is unlawful to possess and that may be dangerous to other persons; destroys, damages, defaces, or threatens harm to hotel property or guests; causes or permits persons to exceed the maximum allowable occupancy of room, refuses to abide by the reasonable standards or policies established by The Historic Jefferson Hotel for the operation and management of our hotel.
PARKING-
There is parking in the surrounding areas of the hotel and a parking lot dedicated to hotel guests located in the rear.
FIRE SAFETY POLICY-
The hotel is fully equipped with smoke and Carbon Monoxide detectors. Please notify Front Desk in the event of a fire or other emergency by texting 901-468-3551.
DISCOUNTS-
We occasionally offer discounts on our website and we also offer discounts to the Military and Police. Contact us for details.
TERMS & CONDITIONS-
The Historic Jefferson Hotel makes its best efforts to ensure that all the information that appears on its website is accurate. However, no warranty, expressed or implied, is given that the information provided on this website is error free. The Historic Jefferson Hotel does not accept liability for any errors and/or omissions, and reserves the right to change the information published at any time and without notice.
CHANGES OR MODIFICATION TO THE HOTEL POLICY/HOUSE RULES-
The Historic Jefferson Hotel reserves the right to amend, modify, change, cancel, vary or add to these Hotel Policies/House Rules or the arrangements and content featured on our Hotel website at any time without prior notice. Please check our website regularly for updates to Hotel Policy/House Rules. Any modification to these Hotel Policy/House Rules that occurs before your departure is considered a part of your reservations agreement with us. A copy of these Hotel Policy/House Rules is located on our website, and available from Front Desk staff upon request.
